This Privacy Policy explains how SCHOLARS PRIVATE COLLEGE ("we", "us") handles personal data in the School Manager platform available at https://skuulmanager.app. We operate from Nigeria. By creating an account or using the platform you agree to this policy.

1. Who is responsible for your data

SCHOLARS PRIVATE COLLEGE is the provider of the platform. Where a school uses School Manager to manage its own pupils and staff, that school is the controller of the records it enters and we act as its processor, handling data only to deliver the service.

2. Data we collect

  • Account data: name, email address, phone number, role and school.
  • School records entered by school staff: student and staff profiles, admission applications, attendance, scores and results, fees and payment records, payroll entries, health and transport records, messages and documents.
  • Payment data: plan purchased, transaction references, billing status and the masked tail of a card (brand and last four digits). Full card details are handled by Paystack, our payment processor, and never reach our servers.
  • Technical data: sign-in events, audit trails of sensitive actions, error and diagnostic logs, and device/browser information needed to keep the service secure.

3. Why we use it

  • To provide, secure and support the platform and its modules.
  • To process subscriptions, renewals, AI credit purchases and invoices.
  • To send service messages such as expiry reminders and result or fee notices you trigger.
  • To detect misuse, maintain audit trails and comply with legal obligations.

We do not sell personal data and we do not use school records for advertising.

4. Children's data

The platform holds records about pupils, entered by their school. Pupil records are visible only to authorised staff of that school, to the pupil, and to the pupil's verified parent or guardian. Accounts for pupils are created by the school, not by children signing up independently.

5. Sharing and processors

We share data only with service providers needed to run the platform: our cloud hosting and database provider; Paystack, our payment processor, which authorises and settles card and bank payments on our behalf; and the SMS, email, WhatsApp and AI providers used for features a school chooses to enable. Each is bound to use the data only on our instructions. We may also disclose data where required by law.

6. Security

Data is encrypted in transit, access is separated by role, every school's records are isolated from every other school's, and sensitive actions (credential changes, exam answer access, document printing, record merges) are written to audit trails. Passwords are stored only as one-way hashes.

7. Retention

School records are kept for as long as the school maintains its account, and thereafter for up to 90 days to allow recovery, unless the school asks us to delete them sooner. Financial and audit records may be retained longer where law requires it.

8. Your rights

You may request access to, correction of, a copy of, or deletion of your personal data, and you may object to processing or withdraw consent where it applies. Staff, students and parents should contact their school first, since the school controls its own records. To reach us directly, use the contact details below and we will respond within 30 days.

9. Changes

We may update this policy; the "last updated" date above always reflects the current version. Material changes will be announced inside the app.
